Two to four weeks ahead of the due date, contact the parent to schedule the annual IEP. Ensure that you pick a day and time that works for the general education teacher and LEA as well. Create a calendar invite and add the other team members. Document on the status record.

Create a PWN (prior written notice) and meeting arrangements (#1). Send a copy to the parent via email or in the child's backpack. Include a copy of the Parental Safeguards. If the family's native language is something other than English, include a copy in that language. Document on the status record.

A few days prior to the meeting, generate and send a second copy of the PWN and meeting arrangements (#2) with updated dates on the second copy of documents. Document on the status record. Make sure at least one of the PWNs is signed by the parent!

Write your IEP present levels. You will need to obtain parent input, teacher input, include a therapy data summary, updated observations, and the effect statements for areas of need. Insert your present levels in the appropriate sections in Infinite Campus. Add a justification statement (if the student will be removed from class) on the final page. Complete the remainder of the IEP.

Best practice is to send a draft copy of the IEP prior to the meeting. If your school asks for you to send a draft copy, only include the present levels and recommended goals. Omit the other pages so that you are not predetermining services. Document on the status record.

On the day of the scheduled IEP, all participants should gather in the designated conferencing area or attend virtually. Hold the annual IEP and review each section with the team.

If the meeting is virtual, send out the final IEP for digital signatures via Adobe Signature (or a similar program) or obtain signatures during the meeting if it is in-person. Document on the status record.

Send a final copy of the IEP with a PWN (Intent to Implement) to the parent via email or in the child's backpack. File all prior notices, meeting arrangements, the signed IEP, the intent to implement, and the status record in the Confidential Folder.

Update your caseload data book and data record with the student's new recommended minutes and goals. Document that an annual IEP has occurred to indicate that, moving forward, the data will reflect the new goals.
